Reports, exports and connecting other systems

Reports

Open Reports in the menu. Choose a period at the top (last 30 days, 90 days, 12 months, this year, last year, or your own dates). Every report has Download Excel.

  • Testing: how many tests were done, how many failed, which checks failed most, and results by equipment class and client.
  • Retests: what is overdue and what falls due in each of the next 12 months, site by site. Use it to plan engineers and book clients in.
  • Engineers: tests per engineer, days spent testing, tests per day, and which instruments were used, including any tests done after an instrument's calibration date.
  • Revenue: invoiced and paid each month, what is outstanding and overdue, and your biggest clients. It counts invoices issued in this app (including ones sent on to Xero, QuickBooks or FreeAgent).

Office staff, admins and owners can see reports. Engineers see the Retests report only. Revenue also needs permission to see invoices.

Each chart can be shown as a table: click Show as a table underneath it. Hover over a bar to see its numbers.

Excel downloads

  • A site: the site page's Excel button gives the register and the site's full test history, with each reading in its own column.
  • A client: Register (Excel) on the client's page covers every site.
  • Everything: Download Excel on the Asset register covers every appliance, with the last 12 months of tests.

Dates and readings are real Excel values, so you can sort, filter and total them. Failed results are shaded red and overdue retests amber.

Retest dates in your calendar

  • Download a site's or client's dates with the Calendar or Retest calendar button and open the file in Outlook, Google Calendar or Apple Calendar.
  • Subscribe so your calendar keeps itself up to date: go to Reports → Retests, scroll to Retests in your calendar and choose Create calendar address. Copy the address into your calendar app (instructions are shown). Calendar apps check for changes every few hours.

Each site appears as an all-day event on the day its appliances fall due, listing them. The address is private to you; remove it from the same page if it is shared by mistake. It stops working if you leave the organisation.

Connecting other systems (API and webhooks)

Owners and admins can connect other software at Settings → API & webhooks.

  • An API key lets another system read your records and, if you allow it, add clients, sites, appliances and test results. Give each system its own key with only the permissions it needs. The key is shown once; revoke it at any time.
  • A webhook tells another system straight away when something happens, such as a test being recorded or an invoice being paid. Use Send test event to check it is set up.
